How to set positive merchant balance to zero

  1. Are you ready?

    In this tutorial, we are going to learn how to set a positive merchant balance to zero. This can be used when the merchant's remittance was put on hold for some reason, and funds were released to the merchant bypassing the remittance process. Thus, for the merchant to not get double funded during the next remittance, its balance must be set to zero.

    For example, there is a situation where a merchant had $100 on hold and these funds have been credited through the remitter. To deduct this amount from the merchant's balance, we will proceed as follows:
    • Enable manual review of merchant statements;
    • Deactivate remittance hold;
    • When a statement is generated, create an adjustment for the $100 balance amount;
    • Verify that the balance has been set to zero.
  2. Log in to the system using your Username and Password and switch to the Management => Merchant Perspective.

    Note: To learn how to log in and select perspectives, use the prerequisite tutorial Logging in and navigating the application.
  3. Firstly, let's learn how to enable manual review of merchant statements.

    Note: Manual review can be enabled only at the merchant level.
  4. Select an appropriate merchant in the top left section of the screen.
  5. Click   Detailsbutton in the top section of the screen.
  6. Choose   Funding  menu item  from the list.
  7. Choose   Settings  menu item  from the list.
  8. Locate   Statement Review  groupbox
  9. Locate   Merchant  checkbox and check it off to enable manual merchant statements review.
  10. Click   Savebutton
  11. Next, let's learn how to deactivate remittance hold.

    To do this, follow the steps 11-13 from the How to put merchant remittance on/off hold tutorial.
  12. Next, let's learn how to create an adjustment. This can be done in two ways:
    • via a scheduled adjustment that will be added when a statement gets generated.
    • via a manual adjustment that has to be added by a user within a newly-generated statement.

    To do this, follow the steps from the Creating an adjustment tutorial.
  13. Finally, let's learn how to check the merchant's balance.
  14. Click   Detailsbutton in the top section of the screen.
  15. Choose   Funding  menu item  from the list.
  16. Choose   Settings  menu item  from the list.
  17. Locate   Balance  groupbox
  18. Locate   Total  readonly to verify that merchant balance has been set to zero.
  19. Congratulations, you are done!
